Safeguarding the personal information of all employees, donors, participants, volunteers, and families of Leucan is our highest priority. 

1. Objective 

Leucan is committed to protecting your personal information and to show transparency regarding the information we collect about you. 

This Privacy Policy aims to explain how and why personal information is collected, used, disclosed, and retained within our Association. When you provide personal information, you agree to its collection, use, disclosure, and retention as specified in this Privacy Policy, and you authorize Leucan, its third-party partners, and its service providers to handle your personal information for the purposes described herein (see section 4 below). 

This Privacy Policy does not apply to third-party websites accessible through links provided in Leucan’s websites. Leucan assumes no responsibility for third-party websites. Should you click on links to third-party websites, we urge you to read their respective privacy policies. 

2. Personal Information Collected 

Personal information refers to any identifying information about an individual. Leucan can collect, use, stock, and transfer various types of personal information about you, including: 

  • Personal or business contact information such as first name, surname, street addresses, e-mail addresses, date of birth, position, employer name, and phone numbers. 
  • Visual content such as photos, and audio or video content. 
  • Progress notes about the state of services provided by Leucan advisers or any other employee of Leucan. 
  • Any medical information required for follow-up purposes or to hold activities. 
  • Should you ever apply to work or volunteer for Leucan, we will collect professional details about you, including your resume, educational level, judicial record, and credit report. 
  • Information about your marketing and communication preferences and all related data such as comments and survey answers. 
  • Information about an individual’s giving history and past participation in events by the Association. 
  • Information about the use of our websites and other technical information such as tracking visits in our websites, your interaction with our advertising and online content, and information collected via cookies or other tracking technologies. 
  • Any other personal information provided. 

We do not knowingly collect personally identifiable information from children under 14 on our sites. If you are under the age of 14, please do not provide any personal information without the express consent of a parent or guardian. If you are the parent or guardian of a child whom you believe provided personal information to us, please contact us by completing this form. If we are made aware of personal information collected from a child under the age of 14 without the express consent of a parent or guardian, we will immediately take action to delete this information from our servers. 

3. Collection of Personal Information  

We collect information you provide as part of our interactions with you, such as: 

  • When you sign up for events, activities, and newsletters. 
  • When you donate to our Association, regardless of the type of donation. 
  • When you apply for an open position. 
  • When you apply to volunteer for our Association. 
  • When we provide services to you. 

We also collect publicly accessible information from public platforms, including our websites. Moreover, to constantly improve our procedures and messages, we may collect and use information about you from third-party applications such as Google Analytics, Google Adwords, Facebook, and other public sources of information. 

4. Use of Personal Information  

We will only use your personal data as permitted by law or, if applicable, on another legal basis. More frequently, we will use your personal information in the following circumstances: 

  • To manage our Association and to administer or provide our services, including to meet our contractual obligations to you. 
  • To protect participants, employees, and volunteers during our activities and events. 
  • To facilitate the use of our websites, to ensure all content stays relevant, and to ensure that the content of our websites is presented in a way that is efficient for you and any device you use to access it. 
  • To develop new partnerships – when we provide details about our mission; share the latest developments in our Association and field; and send invitations to activities and events, should a user elect to receive such information. 
  • For philanthropic prospection purposes – to call for donations or to invite you to renew your donation. We will immediately cease to communicate with donors who request to be removed from our distribution list. You may at all time withdraw your consent to receiving communications from us by contacting us through the contact information provided at section 9. Contact. 
  • For research and development purposes – to conduct analyses and get an accurate socio-demographic profile of our partners, Leucan families, donors, and event participants in an effort to improve our services and communications. 
  • For recruiting purposes – to process and assess job applications and applicants. 
  • To meet our legal and statutory obligations and risk management requirements. 
  • To prevent fraud and/or conduct other background checks as required by applicable law or regulations or in accordance with best practices. (If false or inaccurate information is provided or in case of a known or suspected fraud, the information could be disclosed to fraud prevention agencies and recorded by Leucan or by such agencies.) When we process special categories of personal data, we may also rely on elements of public interest (such as crime detection or prevention) or legal claims and proceedings. 
  • To enforce respect for our rights, to meet our legal and statutory obligations relating to the disclosure of information, or to protect the rights of third parties. 

5. Disclosure of Personal Information 

We may disclose the personal information we collect with third parties including: 

  • Third-party service providers and/or partners, such as providers of fundraising services, database analyses, websites, application development, Web hosting and maintenance, security and surveillance, and other types of services. As part of the services they provide to Leucan, these third parties could access personal information. Personal information provided to such service providers is limited to the information reasonably needed to perform their duties, and our contracts with such third parties require the protection of all personal information. 
  • Government authorities and law enforcement agencies as required by applicable law. For greater clarity, we will disclose personal information and other data as required by law, including tax regulations, or if we believe in good faith that such disclosure is necessary to meet the requirements of applicable law; in response to a court order, subpoena to witness, or a search warrant from the government; or otherwise, to comply with a demand from such government authorities or law enforcement agencies. 

When you visit our websites, third parties may use cookies, web beacons, or similar technology on your computer or device to collect or receive information about your use of the websites and your online browsing history. Such technology enables providers to feature relevant and targeted advertising according to your interests. You retain full control over the cookies you accept, refuse, and delete. Please refer to your browser settings to make any changes to your cookie preferences. 

If you want third-party websites to stock cookies on your computer or device to provide you with targeted advertisement, you may activate this option. 

Please note that Leucan never sells personal information to third parties for any purpose whatsoever. 

6. Retention of Personal Information  

Your personal information will be retained for the time period required depending on the purposes for which it was collected (see section 4. Use of Personal Information), or as permitted or required by law. 

7. Safeguarding Personal Information 

We have implemented appropriate security measures to safeguard the personal information we collect. Our internal polices and procedures govern how our employees access information about donors, event participants, other employees, volunteers, and families of Leucan. Our employees are required to sign a confidentiality agreement and to fulfill their role in accordance with the general principles and rules set forth in Leucan’s Code of Ethics. 

We have implemented appropriate physical, organizational, and technological security measures to help protect the personal information we collect, including limiting access to our premises, safeguarding workstations, using the SSL protocol (Secure Sockets Layer) and other technology to protect credit card data transmitted to us. 

8. Your Rights Relating to Personal Information  

You have certain rights relating to your personal information. 

In some circumstances and in accordance with applicable data protection laws, individuals have the following rights: 

  • Right of access: You may request to know if we handle personal information and, if so, to gain access to the personal information we store by contacting us (see section 9). 
  • Right to accuracy: We are required to take reasonable steps to ensure that the personal information we hold is complete, accurate, non-misleading, and up-to-date. 
  • Right to correction: You may request the correction of any inaccurate or incomplete personal information that we hold. 

Additionally, in some circumstances, individuals also have the following rights: 

  • To withdraw your consent to the use or disclosure of personal information we collected. 
  • To request that we anonymize your personal information.  
  • To ask for the deletion of personal information when there is no valid reason for us to continue to hold on to it. 
  • To request that we de-index your personal information by removing any hyperlink containing your data from search engine results.

Steps – Request for Information: 

Identity validation: We will ask for specific information to validate your identity and to uphold your right to access your personal information (or any other right you have). This is a security measure to ensure that personal data is not disclosed to anyone not entitled to access it. We may also contact you to request additional information about your request in an effort to accelerate our response time. 

Response time: We strive to respond to legitimate requests within 30 days.

10. Changes to our Privacy Policy 

Leucan reserves the right to change the terms and conditions of this Privacy Policy. To keep up-to-date with our practices, we encourage users to review this Privacy Policy periodically as it may change from time to time. Please rest assured that no change made to the Policy will be applied retroactively and that Leucan will not make any changes to the way we process the information we collected previously without your prior consent.
